Use document types as anchors
Separate identity, travel, vehicle, property, health, insurance, education, employment, tax-admin, subscriptions, and warranties. Then attach reminders to documents with expiry or review dates.

Add owner and proof location
Every important document should have an owner and a location note. This prevents shared household admin from becoming a search problem when a deadline arrives.

Avoid storing unnecessary sensitive numbers
A reminder system usually does not need full identity numbers, bank details, or private financial data. Track the fact that something expires and where proof lives, not more data than necessary.
